What are workspaces?

Granola now organizes work into workspaces - one shared home for your team. Join your company’s workspace to keep notes, folders and meeting insights together in one place or create your own.

From October 1 2025, you'll need to be in a workspace to continue using Granola. This can either be a workspace with your team, or a workspace that is private to just you.

What's happening?

We're upgrading all Granola users to allow you to collaborate in a shared workspace.

If you're currently using Granola with your work email and you're not already in a workspace, you'll get an email and be prompted to join or create one in the Granola app:

This unlocks collaboration features for your team, and also allows you to separate work and personal notes by keeping them in different workspaces.

By joining a workspace, your existing Granola documents will be moved into that workspace in agreement with the Terms of Service.

Collaborating in a workspace

Invite teammates to share notes from standups, retros, customer calls, and more - shared folders mean you can get updates from your team on anything you've missed without having to copy and paste links.

Share templates with teammates to standardize your note formats and meeting follow-ups.

Ask Granola in workspaces

Search and ask across notes and transcripts. Over time, Ask Granola can become your team’s second brain and answer questions using context from across your team's workspace.

Privacy of your notes

Your notes are never shared by default - they'll remain private unless you choose to share them by adding them to a shared folder, or share them directly with someone else.

Getting started

Creating or joining a workspace

If there aren't any workspaces at your company yet, you can choose a name and picture for the workspace.

If there's already workspaces created, you can join an existing one - or send a request to the admins to join any private workspaces. You've also got the option to create a new workspace.

By joining a workspace, you're agreeing to the Terms of Service.

Inviting your team

When creating a workspace, you can allow teammates with the same email domain as you join the workspace without having to request access. This makes it a lot easier for them to get started on Granola!

If you've got a paid plan, you'll be charged per person that joins your workspace - this will appear on your next invoice as a pro-rata charge based on the date they joined the workspace.

When creating a workspace, you can invite teammates by entering their email - or select all your company teammates that you already meet with. This list is created from anyone at your company who you've previously had a Granola meeting with:

You can adjust auto-join permissions, and invite more teammates later by heading to the Team & Billing section in Granola Settings.

Removing people from your workspace

As a workspace admin, you can remove teammates in the Team & Billing section of Granola settings - find them in the list of Team members and then click the drop-down next to their name.

If you're removed from a Granola workspace, you'll no longer be able to access the notes, folders, templates or recipes in that workspace - and notes will continue to remain visible in any shared folders in that workspace. You'll regain access to these if you are re-added to the workspace at a later date.

If you've lost access to documents because you've been removed from a workspace, get in touch with the workspace admin.

Switching workspaces

You can join multiple workspaces and switch between them easily to keep different sets of notes separated. Just click your workspace name in the bottom-left corner and then 'switch workspace' - or add workspace to join or create a new one.

Remember that any documents you create in a workspace belong to that workspace - if you're removed from the workspace in future, you won't have access to them any more and you'll need to ask the workspace admin to re-add you to regain access.
